Privacy Policy for GlowBook

Effective Date: August 28, 2025

GlowBook (“GlowBook,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use the GlowBook mobile application, website, booking tools, business dashboard, payment features, and related services (collectively, the “App”).

By using GlowBook, you agree to the practices described in this Privacy Policy.

1. Personal Information We Collect

We collect personal information you provide directly, information created through your use of the App, and information received from service providers.

Account information:

First name, last name, email address, phone number, password credentials, account ID, business ID, professional ID, role, notification preferences, and authentication information. Passwords are handled through secure authentication providers; we do not store readable passwords.

Client and booking information:

Subscribed businesses, selected business, selected professional, selected services, appointment dates and times, service duration, booking status, cancellation status, no-show status, recurring appointments, group sessions, client notes or details you provide, and appointment history.

Business and professional information:

Business name, business address, business profile, business logo, Google Place ID or review link information, professional names, professional contact details, availability, services, prices, price type, descriptions, taxes, tips, cancellation settings, payment settings, team members, and business preferences.

Payment and transaction information:

Payment status, payment method type, payment intent IDs, Stripe connected account IDs, appointment totals, service prices, minimum-price indicators, taxes, tips, platform fees, discounts, refund amounts, cancellation fees, and chargeback or dispute-related information. We do not store full credit card numbers.

Uploaded content:

Business logos, portfolio images, service descriptions, profile photos, and other content uploaded through the App.

Communication information:

Push notification tokens, SMS delivery information, email delivery information, appointment confirmations, reminders, cancellation links, marketing notification records, and support messages.

Device and technical information:

Device type, app version, operating system, IP address, Firebase Cloud Messaging token, crash/error logs, security logs, usage events, and diagnostic information.

Analytics and performance information:

Appointment counts, revenue totals, tips, payment mix, client activity, booking trends, business performance insights, and related aggregated or derived analytics.

Moderation and AI-related information:

Service names, service descriptions, prices, uploaded images, analytics inputs, prompts, or other content may be processed by automated tools to detect unsafe content, generate insights, improve functionality, or support business features.

2. How We Use Personal Information

We use personal information to:

create, authenticate, and manage accounts;

allow Clients to find, subscribe to, and book with Businesses;

allow Businesses and Professionals to manage services, availability, clients, schedules, payments, portfolios, and analytics;

process bookings, cancellations, refunds, reminders, and confirmations;

process payments through third-party payment providers;

calculate taxes, tips, platform fees, discounts, cancellation fees, and appointment totals;

send transactional push notifications, SMS messages, emails, and in-app messages;

send marketing or promotional communications where permitted by law and user preferences;

display business profiles, logos, services, prices, and portfolio content;

moderate services, images, and uploaded content;

provide customer support and respond to requests;

detect fraud, abuse, spam, security incidents, and policy violations;

maintain, debug, improve, and secure the App;

comply with legal, tax, accounting, regulatory, and payment obligations.

3. Businesses and Client Information

GlowBook allows Clients to connect with Businesses. When a Client books with or subscribes to a Business, certain Client information may be visible to that Business, including name, phone number, email address, booking details, appointment history with that Business, and relevant payment or cancellation status.

Businesses are responsible for how they use Client information outside GlowBook. Businesses must use Client information only for legitimate booking, service, communication, legal, and business purposes.

4. Payments

Payments are processed by third-party payment providers such as Stripe, Apple Pay, Google Pay, or related payment services.

GlowBook may receive and store payment-related metadata, such as payment status, payment intent ID, amount, taxes, tips, fees, refund status, cancellation fee details, and connected account information.

GlowBook does not store full payment card numbers.

Payment providers process payment information under their own privacy policies and terms.

5. Notifications, Email, and SMS

GlowBook may send transactional messages about bookings, confirmations, reminders, cancellations, refunds, account updates, security, and service changes.

These messages may be sent through Firebase Cloud Messaging, Apple Push Notification service, Twilio, SendGrid, email, SMS, or other providers.

Marketing or promotional messages may be sent only where permitted by law. You may opt out of marketing communications where supported. Some transactional messages may still be required to provide the App.

6. Service Providers

We may share personal information with service providers that help us operate GlowBook, including:

Firebase and Google Cloud for authentication, database, storage, cloud functions, messaging, hosting, diagnostics, and app infrastructure;

Stripe for payment processing, connected accounts, refunds, and payment compliance;

Twilio for SMS messages;

SendGrid for email messages;

Apple and Google for app store, push notification, wallet, payment, and platform services;

OpenAI, Firebase AI, or similar providers for content moderation, analytics, or AI-assisted features;

hosting, security, analytics, customer support, and development service providers.

These providers may process information in Canada, the United States, or other countries.

7. Cross-Border Processing

Some personal information may be stored or processed outside your province or outside Canada. When this happens, your information may be subject to the laws of the country where it is processed.

We use service providers that are expected to protect personal information through contractual, technical, and organizational safeguards.

8. Legal Disclosure

We may disclose personal information if required or permitted by law, including to:

respond to court orders, subpoenas, warrants, or lawful requests;

protect our rights, users, security, property, or safety;

investigate fraud, abuse, payment disputes, or policy violations;

enforce our Terms of Service;

comply with tax, accounting, payment, regulatory, or legal obligations.

9. Business Transfers

If GlowBook is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, personal information may be transferred as part of that transaction, subject to appropriate confidentiality and legal protections.

10. Data Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the App, maintain business records, resolve disputes, comply with legal obligations, prevent fraud, and enforce agreements.

Some records may be retained after account deletion, including appointment records, payment records, refund records, cancellation records, tax/accounting records, security logs, and records required by law.

11. Account Deletion

You may request account deletion through the App where available or by contacting info@glowbook.ca.

When your account is deleted, we will delete, anonymize, or restrict personal information where reasonably possible. Some information may remain where required for legal, tax, security, payment, dispute, backup, or legitimate business purposes.

Appointment records already shared with a Business may remain in that Business’s records where legally permitted.

12. Your Choices and Rights

Depending on where you live, you may have the right to:

access personal information we hold about you;

correct inaccurate or incomplete information;

withdraw consent, subject to legal or contractual limits;

request deletion of personal information;

disable push notifications in device settings;

unsubscribe or opt out of marketing communications;

ask questions or make a privacy complaint.

13. Security

We use reasonable safeguards designed to protect personal information, including secure authentication, encrypted connections, access controls, cloud security tools, and limited access to operational data.

No system is perfectly secure. We cannot guarantee absolute security.

If we become aware of a privacy breach that creates a real risk of significant harm, we will take steps required by applicable privacy law, which may include notifying affected individuals and privacy regulators.

14. Children’s Privacy

GlowBook is not intended for children under 13.

We do not knowingly collect personal information from children under 13 without appropriate consent. If you believe a child under 13 has provided personal information, contact us and we will take appropriate steps.

15. Public or Shared Content

Business profiles, logos, services, prices, descriptions, portfolio images, and related business content may be visible to Clients or other users.

Do not upload content you do not want displayed through the App.

16. Third-Party Links and Services

GlowBook may link to third-party services such as Google Maps, Apple Maps, Google reviews, Stripe, Apple Pay, Google Pay, or external websites.

Third-party services are governed by their own privacy policies. GlowBook is not responsible for third-party privacy practices.

17. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

If changes are material, we may notify you through the App, email, or another reasonable method.

The updated Privacy Policy will be posted with a new effective date. Continued use of GlowBook after an update means you accept the updated policy.
